The Problem
The owner of an electronics store in Jakarta came to us with a familiar frustration: their WhatsApp was flooded with inquiries about prices, availability, and delivery — but the three sales managers were constantly overwhelmed. During busy hours, messages went unanswered for 40–60 minutes. On weekends, no one monitored the chat at all. Customers who didn't get a reply within a few minutes simply moved on to a competitor.
How It Was Done
Every morning, managers would scroll through dozens of overnight messages, trying to figure out which ones still needed a reply. Leads were tracked in a shared WhatsApp group and a handwritten notebook. No one knew how many potential customers had been lost. The owner estimated it was "a lot".
What We Changed
We set up an automated first-response system: every incoming WhatsApp message gets an instant reply within 30 seconds, acknowledging the inquiry and asking one qualifying question. The lead is automatically logged in their CRM with the customer's details and message. The responsible manager gets a Telegram notification with context, so they can jump in the conversation ready — not cold. Outside business hours, the system handles basic FAQs and collects contact details for a morning follow-up.
"We used to lose customers before we even knew they existed. Now every lead is captured and our managers focus on selling, not typing the same answers over and over."
